The Custom Fields feature is like a handy toolbox that lets you store extra info about your students, parents and teachers, so you can meet the unique needs of your maktab/madrasah.
It's super easy for administrators to create new fields. Once added, e-maktab smoothly fits these fields into all student/parents/teachers profiles. This means your maktab can include as many custom fields as you need to collect all the specific info you want without having to get in touch e-maktab.
How to add a custom field
Step 1: Log in to e-maktab
First, log in to your e-maktab account using your username and password.
Step 2: Access the Settings Menu
Once logged in, navigate to the settings menu. You can usually find this in the right hand side of the screen (cog icon). Click on the Settings icon and the Custom Field menu.
Step 3: Click "New Custom Field" button
On the custom fields management page, you'll see a list of any existing custom fields. To add a new field, locate the "New Custom Field" button at the top right and click on it.
Step 4: Define the New Field
A form will appear where you can define the details of your new custom field. Start by entering a name for the field in the provided text box. This name should clearly indicate what type of information the field will store (e.g., "Phone Number").
Step 5: Choose Field Type
Next, choose the type of data you want the field to store. e-maktab offers various field types, including text, number, date, checkbox, URL and dropdown. Select the appropriate type from the dropdown menu provided.
NOTE: for dropdown field enter the option in the option field and press enter to add
NOTE: for URL field you MUST include the http or https
Step 6: Set Field Options (if applicable)
Depending on the field type you chose, you may need to set additional options. For example, if you selected a dropdown menu, you'll need to enter the options that users can choose from.
Step 7: Set the description
Now add a description so that you know what this field will store. For checkbox field type the description will be used to display on the form
Step 8: Select the association model
Now select on which entity the custom field should be created for. There are 5 options Student, Parent, Teacher, Enrolment (Parent) and Enrolment (student)
NOTE: If you want the question on the application for parent (step 1 in the application) or student (Step 2 in the application) select Enrolment
Step 9: Set visibility
Now select if the custom field is active, is required and display on application.
is Active = Determines if the custom field will be displayed on the form for the selected entity.
is Required = Determines if this field will be required while form submission.
Display on application form = Determines if this field will be displayed on the application form.
Conditional Logic
Important: Conditional logic is only available for Enrolment and Enrolment Item association models.
Conditional logic allows you to show/hide fields based on the values of other fields.
How It Works
When you select Enrolment or Enrolment Item as the association model, the Conditional Logic section appears. You can add conditions to control when your field should be displayed.
Setting Up Conditions
- Select Enrolment or Enrolment Item as the Association Model
- The Conditional Logic section will appear
- Click + Add Condition
- Configure each condition:
- Show when field: Select the parent field to base visibility on
- Operator: Choose the comparison operator
- Expected Value: The value to compare against
- Logic: AND/OR (for multiple conditions)
Operators

Logic Operators
- AND: All conditions must be true
- OR: Any one condition must be true
Examples
Example 1: Conditional Dropdown
Scenario: You want to ask "What car do you drive?" only if the user answered "Yes" to "Do you drive?"
Step 1: Create field 1:
- Field Name: Do you drive?
- Field Type: Yes/No
- Association Model: Enrolment
Step 2: Create field 2:
- Field Name: What car do you drive?
- Field Type: Dropdown
- Association Model: Enrolment
- Add Condition:
- Show when field: Do you drive?
- Operator: Equals
- Expected Value: yes
Result: The "What car do you drive?" field only appears when "Do you drive?" is set to "Yes".
Tips
- Create the parent fields before creating fields with conditions
- The parent field must have the same association model as the conditional field
- Test your conditional logic by viewing the enrolment form
- You can add multiple conditions to a single field
- Use the Logic dropdown to combine multiple conditions (AND/OR)
You're all set! You can now start using the new custom field to store additional information about your students, parents and teachers. Simply input the relevant data into the field whenever needed.
That's it! You've successfully added a custom field in e-maktab. If you ever need to edit or delete a custom field, you can do so from the custom fields management page following similar steps.
