Policies in e-maktab: Overview & Configuration
What are Policies in e-maktab?
Policies in e-maktab are configurable documents that define the rules, terms, and conditions parents must review and accept when enrolling their children.
They allow Maktabs to clearly communicate important information such as:
- Terms and conditions
- Privacy Notice
- Photography and Video Policy
- Uniform Policy
- Payment Terms
- Trips Policy
Each policy can be customised by the admin to meet the Maktab's specific operational and legal requirements.
Why Policies are Important
Policies help Maktab to:
- Set clear expectations with parents
- Operate consistently across students and branches
- Meet legal and safeguarding obligations
- Maintain a verifiable record of parental agreement
- Reduce disputes and misunderstandings
Within e-maktab, policies are a core part of the enrolment and compliance process.
How Policies Work in e-maktab
- Policies are defined by admins in the system
- Parents are required to review and accept policies during enrolment or when they login to the parent portal
- Acceptance is explicitly recorded and time-stamped
- Each accepted policy is linked to a specific version
This ensures transparency and accountability for both the organisation and parents.
Configuring Policies in e-maktab
1. Creating a Policy
Admins can create policies from Settings > Policies:
- Policy Type
Select from the categorise provided (if you don't see a policy reach out to support) - Policy Content
The full text of the policy, written or pasted directly into e-maktab. - Requires Parent Acceptance
If the policy needs acceptance from parents - Set as current policy - This sets the policy to be the current
2. Assigning Policies to Enrolment
Once created, policies can be:
- Automatically included during the enrolment process
- Displayed to parents in a clear, readable format
Parents cannot complete enrolment until all required policies are accepted.
3. Updating Policies
When policies need to change, admins can:
- Edit the policy content
- Publish a new version
- Require parents to re-accept updated policies if necessary
Previous versions and acceptances remain stored for audit and compliance purposes.
Tracking and Audit Records
e-maktab automatically records:
- Policy name and version
- Parent who accepted it
- Student(s) it applies to
- Date and time of acceptance
These records can be accessed by admins when needed for:
- Internal reviews
- Legal or safeguarding queries
- Compliance audits
Best Practices for Admins
- Keep policy language clear and easy to understand
- Review policies regularly for accuracy and relevance
- Use separate policies for different consent types
- Clearly mark which policies are mandatory
- Communicate updates to parents when policies change

By configuring policies effectively, admins can:
- Protect their Maktab
